Overview
This guide outlines how to manage and schedule trucks and drivers within the LASSO system. By setting up both driver and truck positions, you can ensure accurate and efficient scheduling, avoiding double booking and providing clear visibility for your team.
Setting Up Driver and Truck Positions
Adding Driver and Truck Positions
Navigate to the Scheduling Section:
Go to the "Scheduling" section in your LASSO account.
Create Positions:
Create a position for the driver and a separate position for the truck. For example, you might create a "Driver" position to assign and schedule your drivers, and a "Truck" position to assign and schedule your vehicles.
Assign Crew Members:
Book the driver for the Driver position and the truck for the Truck position.
This ensures that the truck and driver are scheduled separately, preventing double booking.
Example
Event: Bridgestone Arena, Nashville, TN
Dates:
Prep Day: October 1st
Travel Day: October 2nd
Driving Dates: October 3rd and October 6th
Schedule:
Driver Position:
October 1st: Prep Day
October 2nd: Travel Day
October 3rd: Driving
October 6th: Driving
Truck Position:
October 1st: Available
October 2nd: Unavailable (Travel Day)
October 3rd: Unavailable (Driving)
October 6th: Unavailable (Driving)
Adding Trucks as Assets
Option 1: Trucks as Crew Members
Navigate to the Crew Section:
Go to the "Crew" section in your LASSO account.
Add the Truck as a Crew Member:
Add the truck as a crew member and assign it to the truck position.
This allows you to see the truck's availability and schedule it accordingly.
The contact information required for crew profiles can be fake data, since the “crew profile” of the vehicles will not be accessed from the Lasso app
Option 2: Trucks as Inventory
Navigate to the Inventory Section:
Go to the "Inventory" section in your LASSO account.
Add the Truck as an Asset:
Add the truck as an inventory item.
This allows you to track the truck's availability and usage.
Key Considerations
Visibility for Crew Members: Trucks as Crew
Crew rosters can be shared with the entire event staff, providing transparency to the on-site team as to what vehicle and driver will be joining them
Visibility for Crew Members: Trucks as Inventory Assets
If the driver is a crew member without a user profile, they won't have access to the gear orders.
Ensure that the driver is aware of the truck they are assigned to drive through clear communication or by providing access to the necessary information.
Providing a linked User login or a copy of the order/shipping manifest may be necessary.
By setting up your truck and driver positions properly, you can ensure efficient and accurate scheduling, enhancing your operational processes and team coordination.
