LASSO Search

Learn how to quickly locate events, crew, and other data in the LASSO in the Scheduling spoke.

Updated this week

LASSO Scheduling includes several search and filtering features designed to quickly locate events, crew, and other data in the system. This document describes several important tips and best practices to getting the most out of the search functions in LASSO.

Please note: Search results may also include results where the desired search term was added as a reference name, emergency contact, or answered as part of a custom field question.

Crew > All Crew Search

  • Basic Search: Type the name you are looking for into the search bar. For example, if you type "Smith," the search will return all crew members with "Smith" in their first or last name.

  • Specific Search: To get more precise results, enclose the name in quotation marks. For instance, searching for "Smith" will only show results for that exact word.

  • First and Last Name: You can also search for a full name, such as "John Smith," to find specific individuals.

Let's start with the search and filter functions on the Crew > All Crew page. Across the top of the page you will see a set of fields with 'Search' being the first field. (You will also notice the Search box at the top right of the screen; that is discussed later in this article.)

For single word searches, search will return all matching results. In the example below, Smith was entered in the search box and all crew members with the last name Smith were returned:

Likewise, just searching Steve will return all crew members named Steve in the database:

This is probably how you would expect it to work based on your experience with other search engines.

For multi word searches, however, this search box works differently than you may be used to. When you enter two or more search terms, LASSO search does not automatically combine the words into one search string or phrase, it continues to treat each word separately. For example, searching Steve Smith will bring back both John and Steve Smith, because the search system does not create a string from the two words Steve and Smith; it searches both words independently:

(If you are familiar with Boolean search teams, Lasso search uses an OR rather than an AND).

If you want to search for an exact phrase match, put your search terms in quotation marks, like this:

Note that putting David in quotation marks returned the 16 results including David. Putting a person's full name in quotes will automatically open that person's profile page.

Here is another example of how the search handles two search terms:

Note that two unrelated last names were entered and the system returned all people with those last names. Again, it treated each item independently. This means that you can enter as many names as you like in the search box and it will return them all, which is helpful when you need to pull up a lot of different crew members at one time. If you want an exact match, place the terms in quotation marks.

  • Market, Divisions, and Crew Statuses: You can filter your search results by market, divisions, crew statuses, and any other classifications you have set up in your LASSO account.

  • Positions: Use the filter options to search for crew members based on their positions.

  • Tags and Custom Fields: If you have specific tags or custom fields, you can include these in your search criteria to further refine your results.

Partial Search

  • Asterisk (*): Use the asterisk to search for partial matches. For example, typing "Jon*" will return all names that start with "Jon," such as "Jon," "Jonathan," and "Jonathon."

  • Tilde (~): The tilde is used for fuzzy searches. If you're unsure of the exact spelling, type the word followed by a tilde. For instance, searching for "Ray~n" will return results for "Ray," "Ryan," and other similar variations.

You can use an asterisk (*) to search for partial results by entering the part of the name that you know and add an asterisk at the end. In the example below, Arc* returned both "Archer" and "Archambeault".

Fuzzy Search

When you are unsure of a spelling you can use a '~' to generate a fuzzy search. With a fuzzy search, the system will return results that are close to what you entered. For example, rayn~ would find "ryan".

Additional notes:

  • You can enter as many search terms as you would like into the search field, it will treat each item independently unless they are wrapped in quotation marks.

  • Search is case insensitive.

  • Email addresses, phone numbers, and LASSO crew codes are automatically wrapped in quotes and so perform exact matches. You don't have to enter quotation marks around those.

  • Date ranges must be entered in a Year-Month-Day format. For example, June 15, 2012 would be 2012-06-15.

  • To search specific fields, add the field name, a colon, then the search term. For example, first_name:"Charlotte" will return all records with an exact match for the first name Charlotte. Any records that include the city of Charlotte, North Carolina will not be included.

  • You can also combine criteria to focus your search by listing the criteria in the search box, separated by a space. For example, first_name:john phone:615-555-1212.

  • You can omit results by using a minus: first_name:john -last_name:smith will return all the people with the name John but not the last name Smith.

Fields

The following crew profile fields can be searched. The syntax for searching - which is how you need to type the field name into the search box when you want to search that specific field - is listed after the field name.

  • State of Residence us_state_of_residence

  • Contact Phone number phone: Entering a phone number, including all hyphens and parentheses, will match the exact number.

  • First Name first_name

  • Last Name last_name

  • Legal First Name legal_first_name

  • Legal Last Name legal_last_name

  • Name full_name

  • Employee Code external_code employee_code employee_number: These terms are all used interchangeably. Using any of the syntax options will return the same data.

  • Positions: There is not a special syntax for positions, simply enter the position name you are searching for. You can also use the Positions drop down for this.

  • Market market.name: You can also use the Market drop down to filter by market.

  • Date Created date_created: Searches for records created on a specific date or date range. To search for records created between a specific date range, enter date_created: [2012-01-01 TO 2012-12-31]

  • Tags: You can search Tags directly here, but the best way to do this is to click Add Criteria and select the Tag you want to search for.

  • Custom Fields: The best way to do this is to click Add Criteria and select the Custom Field you want to search for but you can also search directly here.

  • Overall Rating overall_rating: Searching for a specific rating, e.g. 4.0, 4.2, etc. will return crew members with that rating

  • Position Status status: You can enter 'Pending' with the Crew Status field set to active to see people with pending positions.

  • Last Login date last_login: You can enter a < or > symbol plus a date to see a list of people who logged in before or after that date.

  • Resume resume: You can enter a 1 to find crew records that have a resume or a 0 to find records that do not.

  • Photo photo: You can enter a 1 to find crew records that have a photo or a 0 to find records that do not.

The following fields are not included when searching:

  • Emergency Contacts

  • Notes

  • Social Media

  • Referrals

  • References

  • Comments in Ratings

  • History

The other fields at the top of the Crew > All Crew screen - Market, Crew Status, Classification, Positions - can be used to filter the information in your crew list. Using these filters in combination with a search term can help you quickly identify the person you are looking for.

The Events section and the Schedules section include a set of filters that work the same way as these filters.

Top Level Search Box

LASSO has a search box at the top of every screen which can be used to search different sets of data regardless of the screen you are working on.

Use the magnifying glass drop down to select the set of data you want to search. The text in the search box tells you what you are searching.

  • Event Search: The top level search searches based on Event Name and you can also enter partial event names. If you enter partial names the system will find all events that include those characters. It does not search client, location, labor coordinator, etc.

  • Clients Search: Searches Client ID, Client Name, Contact Email. Does not search main contact name, or contact phone number.

  • Venues Search: Searches Venue name, Airport (enter an airport code). Does not search City, state, zip, or venue contacts

  • Vendors Search: Searches vendor name. Does not search vendor contacts, ID, or address.

Other Options

LASSO is always open to adding other searching options and capabilities to the system. If you need to search for some data and can't find it using the methods described here, please let us know and we will be happy to help. Happy Searching!
