A number of LASSO customers have employees who work in their warehouse, and to make sure everyone is accounted for properly, they will create a “Warehouse Schedule”. Having a warehouse schedule is important so that you can ensure everyone is paid the correct rate for the work that they are doing and you are accounting for their time/overtime proactively. It is also important because during busy season, you want to make sure you do not allocate everyone to events when there are essential tasks that still need to be performed in the Warehouse.
In this article, we will walk you through what it takes to create a standard Warehouse Schedule. Every company is different and will have different requirements, so you may want to make a few adjustments to this flow to fit your needs.
Getting Started
Before you create your Warehouse Schedule, you will need to create an internal client if you have not already, as well as a venue or venues for your warehouse(s)
Create your warehouse position(s)
Add the Warehouse Position to any crew members who will be working in the Warehouse
To get started on creating your Warehouse Schedule, navigate to Events>Tours and click “New” and create your Warehouse Tour. Click “Save” when the necessary data has been entered.
Create your Warehouse event template event by clicking “Add Event” once the tour has been created.
When you create your template ‘event’, make sure that you set your Warehouse as the ‘Venue’ and your Company as the ‘Client’. Many LASSO customers like to create their Warehouse Schedule a week at a time. In this example, our Warehouse ‘event’ is one week, Sunday-Saturday. Click “Save” when complete.
Now that your first Warehouse event has been created, you can work on filling in the details of the warehouse schedule. The layout in this part can be done a number of ways. Two of the most common are to create Schedule groups by day (Option 1) and to create schedule groups by warehouse department (Option 2).
Once your template is created, you have a few options. You can either
Crew your default schedule and then make staffing changes as needed on an ongoing basis OR
Leave your schedule un-crewed and crew it each week
If you elect to crew your template, add crew to the shifts you have created.
Once you have crewed and confirmed everyone, you are ready to copy from your template.
When you are ready to add more weeks to your warehouse schedule, navigate back to your Warehouse Tour, located in Events>Tours
Select the template you created and click the “Make a Copy” button to duplicate it
Adjust the dates and change the name to reflect the subsequent week.
Repeat for a few additional weeks. It is recommended to do a month at a time. When duplicating events, make sure that you copy a schedule that has approved crew. If you copy one that does not have approved/confirmed crew, assigned crew will not populate on the copied event roster.
When you are ready to publish a weekly warehouse schedule, modify the roster as needed and approve crew so that it populates to their calendars and LASSO Apps.
Congratulations! You should now have a living Warehouse Schedule. You will now be able to see warehouse shifts on your crew schedule and event schedule next to other events and projects your team is working on.
