Introduction
LASSO's user permission settings allow for granular control over what users can see and do within the platform, ensuring that each team member has the appropriate level of access based on their role and responsibilities.

Navigating to User Profiles & Adding New Users
Accessing the User Directory:
Add New Users
From the User Directory, click "Add New User". Enter the name, email, and phone number of the individual.
Select permissions based on the duties of the user being added.
NOTE: If you do not choose ANY permissions, the User will log in to a blank LASSO page with no navigation, since LASSO cannot determine what permissions to allow or block access to.
Managing User Profiles:
You can filter the list to show inactive users or add a new user directly from this page.
On the left-hand side, you can create User Groups for notifications and LASSO alerts.
Profile Types
LASSO has three main types of profiles that are managed differently and have different ways of accessing the system. Those profile types are:
Administrators
Users
Crew
Administrators can access the LASSO web portal and can be assigned specific permissions to add/edit/view different parts of LASSO. An Administrator is a kind of User, and can have the same or even fewer permissions than a User.
Most importantly, Administrators can edit other the permissions and login password for other Users.
Administrators cannot edit the permissions of other Administrators, but can reset passwords for other Administrators.
Administrators can reset their own password, but cannot update their own permissions.

Users can access the LASSO web portal and be assigned specific permissions, just like Administrators. However, Users CANNOT edit permissions or their login of any other User profile.
Users should contact their Administrator for updates to permissions or their login password.
Crew can only access the LASSO Mobile App. Crew can only see what has been shared with them in terms of open positions, events, and documents. Crew log in to the app via a numerical code that is sent to their phone via text message.
Crew who are outside the US and Canada may receive their login code via email.
Crew can have a password login instead of a text code if their cell service provider blocks "short code" messages. Contact [email protected] for assistance.
User Groups
User Groups are helpful for creating groups of Users who can then be selected as recipients for email notification replies and LASSO Alerts.
To add new User Groups, navigate to the User Directory, then click "User Groups" on the left side menu.
In the Edit User Group pop up, name the User Group, and give it an optional description. Select which users should be in the User Group. If a person does not have a User profile already, one must be added for them first. Save the User Group.
Next, navigate to the Company Settings and click the "Notifications" tab. Edit a notification, and in the "Reply to" or "Recipients" section of those notifications will be a drop down to select a User Group. Once this User Group is selected and the notification saved, all Users in the User Group will receive the notification or reply.
This is a faster way of assigning replies to notifications, instead of listing each user's email individually.
Add User Profiles and Select Permissions
Basic Information:
Each user profile includes essential information such as the user's email and phone number.
You can assign users to different groups, such as project management or account managers, to streamline their roles within the organization.
Roles:
Crew Member: Select this box if you want the user to be a crew member.
Crew profiles can more easily be created from the Crew menu. Check out Crew Profiles for more info.
Labor Coordinator: This box indicates that the user is assigned as a labor coordinator on events.
Project Management Module: This is a paid seat. Check this box to grant access to the project management module.
An Administrator with Project Management is able to delete task template lists.
A User with Project Management is NOT able to delete task template lists.
Administrator: Contact your Customer Success Manager (CSM) to sign up a user as an administrator.
User Access:
Limit Warehouse Access: In the user profile, use the “Limit Warehouse Access” section to assign a user to a specific warehouse. In all areas of the LASSO platform where a warehouse is required, the user can now only select or interact with warehouses for which they’ve been assigned.
Note: This permission will only appear if your LASSO instance has multi-warehouse functionality enabled.
Platform Permissions:
The platform section allows you to toggle different permissions based on the user's access needs.
Each permission has an information bubble that provides more details about what it affects.
View Only Schedules: If selected, this permission will turn off all other options and limit the user to view-only access for schedules.
Paid Seats
Certain permissions are limited to a specific number of users based on your contract. These are called Paid Seats, and exceeding the number of permitted users may result in additional charges.
If there is a $ next to a permission, this indicates it is a paid seat.

Defining User Permissions
Each Permissions also has a hover-over tool tip next to it to give specifics about what each permission does. Not every available permission is listed below as LASSO continues to update and add more permissions.
Platform Permissions
These permissions relate to general functionality of LASSO, including events and changing settings. These permissions are only visible if this module is part of your LASSO instance.
View Only Schedules: Users with this permission are only able to view the Crew Schedule and the Event Schedule. All other system access is removed.
IMPORTANT: If this permission is enabled, no other permissions can be selected.
Configure Account: Allows users to access and edit settings for Registration, Custom Fields, Tags (Crew), and other Company Settings.
Can View Administration: Gives access to the Administration menu.
Add/Edit Clients: Allows users to add and edit Client records in the Client Directory, including adding notes, documents and contacts.
Can View Dashboard: Allows Users to see the dashboard homepage of LASSO.
View Document Library: Gives access to view the Document Library.
Add/Edit Event Types: Allows the User to add and edit Event Types.
View Financial Summary: Allows users to view the Financial Summary of an event, which includes projected vs actual profitability based on regular hours, OT, DT, pay rates, etc.
Add/Edit Events: Allows Users to add new events, including event details (info, position needs and criteria, labor rates). Users with this permission can edit existing events and event details.
If this user has "View Crew Rates" and/or "View Event Finances" enabled, this user will be able to view crew rates when creating or editing events.
Can View Events: Allows users to view the Events List and Event Overview.
Add/Edit Rate Cards: Allows users to add, edit, and remove rate cards.
Add/Edit Venues: Allows users the ability to add new Venues via the Venue Directory, or edit existing venue records.
Can Modify Workflow Automation: Allows the user to add or edit workflow automations under the Company Settings.
Can View Workflow Automation: Grants the user the ability to view Workflow Automations, but not make any changes.
Crew Management Permissions
These permissions pertain to managing Crew and all aspects of staffing, including onboarding, travel, and communicating with crew. Certain permissions may not be visible based on your solution set in LASSO.
Crew Profiles
Can View Crew: User can see the Crew List and information on Crew profiles.
View Billable Rates: Allows users to see billable rates.
Approve Crew: Enables users to approve, deny, or remove crew members for positions.
Add/Edit Crew: Allows users to add new crew profiles, edit existing crew profiles and information, as well as update crew profile statuses.
View Crew Rates: Grants access to view crew rates and to the Express Labor Quoting portion of Schedule.
Add/Edit Crew Ratings: Allows user the ability to add or edit performance ratings for jobs worked.
View Crew Ratings: Enables users to view crew ratings.
Add/Edit Positions: Allows users to add new and edit positions to the company site via Company Settings. Users can upload position-specific documents.
Scheduling
Can View Schedules: Allows users to view the schedule of all events.
Can View Tasks: Allows users to view Task pages related to Project Management.
Crew Events: Users are able to add crew to rosters and send invitations for open positions. This user can view which crew have applied via the Crewing page.
Manage Roster: Allows users to manage crew rosters via the Roster page. This user can remove crew from approved shifts on the Roster.
Manage Roster Notes: Allows the user to add and edit notes on a roster.
Manage Event Schedule: Enables users to manage event schedules.
Send Tour Invitations: Allows users to send tour invites to crew members.
Add/Edit Labor Purchase Orders: Allows the user to create and edit purchase orders for crew labor.
Travel
Book Crew Travel: Allows users to book travel for crew members.
View Sensitive Crew Travel Details: Enables users to see personal travel details on the Crew profile, including date of birth, Passport number, and Known Traveler ID (if provided).
Can View Travel Costs: Allows users to view travel costs and per diem information from the Travel page.
View Travel: Allows users to see the Travel page within an event.
Signature
Create and Edit Labor Agreements: Allows the user to create, edit, and manage labor agreements for events.
Onboarding: Enables users to view onboarding documentation for crew members, as well as the progress for onboarding forms.
Onboarding HR: Allows the user to view onboarding paperwork and answers, as well as approve and/or countersign completed packets and forms.
Marketplace
Marketplace Financial Admin: Grants the user access to Marketplace Payments and the Marketplace Financial Dashboard. User can set payment types and review past and future invoices.
Communication
Message Crew: Allows users to send messages to crew members from the Crewing page.
Inventory Permissions
These permissions control access to the Inventory and Warehouse portions of LASSO. These permissions are only visible if Inventory is part of your LASSO instance.
Full Inventory Access ($)
This is a paid seat that grants full access and edit permissions to all inventory pages, including assets, warehouse operations, activities, event gear, and logistics.
This permission includes all the permissions in the inventory section, even if they are not checked.
Can View Financial Data: Allows the user to see any available financial data on the pages they have access to. This may include product rates, purchase order costs, and gear order revenue.
Assets
Can Access Assets Page ($): Allows users the ability to add and edit assets in Inventory.
Can View Assets Page: Allows users to view assets without editing them.
Custom Sounds
Can Edit Custom Sound Library: If checked, this user can manage the account-wide custom sound library in Company Settings.
Can set Custom Sound Preferences: If checked, this user can set their own per-event-type sound preferences via the avatar menu.
Pack Sheet
Can Change Pack Sheet Status: Allows the user to change the status of pack sheets within a phase (Initial → Filling → Packed, or Shipped → Truck Emptied → Returning → Returned). Required for any pack sheet status transition.
Can Mark as Shipped: Allows the user to transition a pack sheet from Packed to Shipped. This action is irreversible and commits assets out of the warehouse. Requires Can Change Pack Sheet Status.
Can Mark as Finalized: Allows the user to transition a pack sheet from Returned to Finalized. This action is irreversible and releases assets back to inventory. Requires Can Change Pack Sheet Status.
Packing
Prevent Bulk Packing Actions: Check this permission if you DO NOT want Users to multi-select assets on a pull/return sheet and pack them in bulk. Users with this permission checked will need to pack assets individually.
Prevent Manual Packing Actions: If checked, users will NOT be able to pack or return assets on pull/return sheets. No "Pack" or "Return" buttons will be available to them.
Allow Overpacking: Allows users to pack more assets than required on the pull sheet.
Allow Product Substitutions: Allows users to substitute unavailable assets for a different product.
Warehouse Activities
Can Access Repairs Dashboard: Allows user to access the Repair Dashboard and add/edit repair tasks.
Can Access Warehouse Activities: Allows users to see and edit any information on the Warehouse Activities screen, which includes pull and return sheets.
Add/Edit Shipments: Allows the user to add or edit shipments.
Warehouse Operations
Can Access Warehouse Operations ($): Allows users to add and edit items on the Warehouse Operations page, which include creating purchase orders, sub rentals, transfers, as well as resolve shortages by claiming reservations and substituting items.
Can Edit Equipment Purchase Orders: Allows the user to add and edit Equipment Purchase Orders.
Can Access Inventory Purchase Orders: Allows the user to access the Inventory Purchase Orders section within Warehouse Operations (add/edit).
Can Access Transfer Orders: Allows the user to access the Transfer Orders section within Warehouse Operations (add/edit).
Can View Inventory Purchase Orders: Grants read-only access to the Inventory Purchase Orders section within Warehouse Operations.
Can View Transfer Orders: Grants read-only access to the Transfer Orders section within Warehouse Operations.
Limit Warehouse Access: In cases of Multi-warehouse operations, it is possible to limit which warehouses a User can access. If none are selected, the user will have access to all warehouses.
Quotes/Invoices Permissions
These permissions handle access to quotes, invoices and orders. These permissions are only visible if this module is part of your LASSO instance.
Event Financials Admin:
This role grants full edit and access permissions to the quote and invoices pages within an event.
Quotes
Can View All Quotes: Allows users to view all quotes without any add/edit capabilities.
Can Access Quotes: Enables users to create and edit all quotes.
Can Edit Document Elements: this user can add/edit all elements of the quote. If not checked, the user can only configure quote content blocks
Invoice:
Can Access Invoices: Enables users to add and edit all invoices.
Order
Can Access Orders ($): Allows users to add and edit all orders from the Gear page of an event.
Can View All Orders: Enables users to view orders without any add/edit capabilities.
Reports Permissions
Reports: Grants users full access to all reports and additional documentation.
Export Data: Allows the user to run and export specific reports. These reports can be found under Administration → Manage your Datasets.
Embedded Intelligence
Embedded Intelligence Admin: user can access all features of LASSO Embedded Intelligence AI. Intelligence Admins can view the Intelligence Dashboard and Usage statistics in the Company Settings.
Embedded Intelligence User: user can access LASSO Embedded Intelligence AI.
Payments Permissions
These permissions pertain to the LASSO Payments module, and the ability to request and collect payments directly through LASSO. These permissions are only visible if this module is part of your LASSO instance.
Payments Admin: Gives the User access to all payments information, including any client onboarding information.
Payments Send View: When checked, the User can create, schedule and send payment requests. This permission also grants access to the Payments Dashboard.
Payments View Only: Allows access to the Payments Dashboard only.
Payroll Activities Permissions
These permissions pertain to the LASSO Payroll module, and the ability to onboard and pay crew through the LASSO Payroll module.
Can Sync Timesheets: Allows the user to sync timesheets from the roster of an event.
Documents Permissions
These permissions grant access to the theme editor and template manager for quotes and invoices. These permissions are only visible if Financial Management as part of your LASSO instance.
Can Access Theme Editor: Gives the user full access to add and edit document themes from the Theme Editor tab in Company Settings.
Can Access Template Manager: Grants the user access to add and edit document templates in the Template Manager under Company Settings.

Inactivating a User or Admin
To have Administration access removed from a User profile, please contact [email protected]. This must be completed by LASSO Support.
To Inactivate a User, navigate to their user profile and change the status to "Inactive".
User profiles and crew profiles for the same person can have different statuses, meaning that if a Full-Time employee who was a User leaves the company, they could still have an active crew profile to be able to continue to accept shifts with you.
