Updating Crew Rates

While there's several locations to update crew rate information, it's important to ensure the info is updated in the correct place in order for the correct rate to be used for timekeeping, payroll, or quoting.

Rates on Crew Profiles

Set the Rate for positions for individual crew members from their crew profile. Changing crew rates will only apply to FUTURE shifts and does not apply to any shifts that the crew member has already been assigned and confirmed for.

  • Position Rate: set the rate that this crew member will be paid for fulfilling this position. There are several rate types. Crew members can only see their own rates.

    • Custom: enter a custom dollar amount

    • Default: Set a default rate for the crew member that is unique to them and not tied to any specific position. This rate can be applied to any work they do, regardless of the position. The Crew Member Default Rate is a unique to the individual crew member.

      • Example: if a crew member has negotiated special rates for any work they do, using their personal Crew Member Default Rate will allow quick updating of rates.

    • Standard: the standard rate paid to anyone working this position

      • Standard Rates are set on Positions in the Company Settings

A note about position rates: Using the Schedule+ page, you can select what rate you would like to select for crew. This will supersede the rates on their Crew profile.


Rate on Schedule+

Select the rate that you would like to be sent to your crew member when sending open position invitations.

Sending Crew Invitations for Open Positions allows you to choose one of three rate options.

  • Ask Crew to Submit their Rate: The crew member will submit their desired rate when applying for the shift.

  • Use Crew Member Rate: The rate that is listed on the Crew Member's Crew Profile under the "Positions" tab will be used for the shift(s).

  • Publish Rate with Opportunity: Define the rate that will be sent at the time of publishing the open Opportunity Invites.


Rates on the Crewing Page

Crew Pay Rates cannot be edited on the Crewing page.


Rates in Timekeeping and Swipeclock

Only the rate that is ON THE ROSTER will be sent to the crew member's timecard and be used in timekeeping calculations.

If the crew member's rate changes, the rate on the Roster must be updated to have the correct rate appear on the Timecard.


Rates on the Roster

Once a Crew Member is approved and confirmed on a roster, changing their rate elsewhere in the platform will NOT change the rate on the roster.

To update a crew member's rate after they are already on a roster, head to the roster for that event. Click the Pay Rate for the individual you would like to change.

In the pop up, update the rate to the new rate.

This is the ONLY way to update the rate for a crew member who is approved to the rostered position.

Completely removing and re-staffing/re-confirming Crew will bring new rate information, but they MUST be removed from the roster entirely.


Rates in Timekeeping and Swipeclock

Only the rate that is ON THE ROSTER will be sent to the crew member's timecard and be used in timekeeping calculations.

If the crew member's rate changes, the rate on the Roster must be updated to have the correct rate appear on the Timecard.


Changing Crew Member Rates AFTER they are Approved and Confirmed for Shifts

IMPORTANT: Rates for Crew members who are already on a roster will NOT update based on changing the rate on the Crew Profile or on Schedule+.

Updated rates MUST be changed ON THE ROSTER.

See a red alert icon on a position from the Crew Profile?

Click it to see what rostered positions are different from their current profile rates. Click the hyperlink to the event roster to change the rate of that rostered position.

In the Different Rates pop up, you can click the URL for the event that needs to have its rate updated.

Once crew members have been approved and confirmed on a roster, their rate is locked in. The understanding here is that you have asked your crew member to work shift(s) at a specific rate, and they have agreed to that. However, we know that rates need to change!

Once on the roster, changing a crew member's rate from their crew profile or the Schedule+ page WILL NOT carry over to any position already confirmed on a Roster.
