Adding a vendor for subcontracted labor in LASSO is a straightforward process that helps you manage your event staffing more efficiently. Follow these steps to add a new vendor and assign them to open positions on your event rosters.

Step 1: Access the Vendor Directory

  1. Navigate to the Administration Menu: From your LASSO dashboard, locate and click on the "Administration" menu.

  2. Select Vendor Directory: In the administration menu, click on "Vendor Directory" to open the list of existing vendors.

  3. Choose Vendor positions: select the positions that the Vendor can provide for you, and the rate that they charge for their labor.

Step 2: Add a New Vendor

  1. Click Add New Vendor: Once you are in the vendor directory, click the "Add New Vendor" button to create a new vendor record.

  2. Enter Vendor Information:

    1. Vendor Name: Input the name of the vendor.

    2. Email Address: Provide the vendor's email address.

    3. Links: Choose the appropriate category for the vendor from the options: Staffing, Union, or Other.

Step 3: Add Additional Vendor Details

  1. Costs: Enter the different costs associated with the vendor.

  2. Contacts: Add contact information for the vendor, such as phone numbers and additional email addresses.

  3. Addresses: Include the vendor's physical addresses if necessary.

  4. Venues: Specify the venues where the vendor can provide labor.

  5. Position Costs: Input the specific costs for the positions the vendor will provide. For example, if the vendor can provide A1s and A2s, enter the rates for these positions.

Step 4: Attach Documents and Notes

  1. Documents: Upload any relevant documents, such as contracts or agreements.

  2. Notes: Add any additional notes or comments about the vendor that might be useful for future reference.

    1. IMPORTANT: These notes and documents will NOT be visible to crew or to the Vendor.

Step 5: Assign Vendor to Event Roster

  1. Navigate to Event Roster: Go to the event roster where you need to fill open positions.

  2. Select Open Position: Click the box next to the open position you want to fill.

  3. Click Add Vendor: The "Add Vendor" button will become available. Click it to proceed.

  4. Choose Vendor: A pop-up will appear with a drop-down list of vendors who can provide the specific role. Select the appropriate vendor.

  5. Specify Quantity: Enter the number of staff members you need for the position.

  6. Add to Roster: Click "Add" to assign the vendor to the position.

Step 6: Communicate with the Vendor

  1. Direct Communication: Remember that labor agencies do not receive event communications, invitations, or messages through the LASSO app. You will need to contact them directly via email, phone, or your preferred method.

  2. Confirm Staffing: Ensure that you follow up with the vendor to confirm that the positions will be filled as needed.

Adding vendors to your LASSO instance helps you keep track of your staffing requirements and simplifies the process of filling open positions.
