What Are Bill Rules?
Bill rules are the guidelines or criteria used to determine how labor hours are invoiced and charged to clients. They help you calculate the total labor cost for an event, ensuring that you’re charging clients fairly and accurately. For example, you might have a 10-hour minimum for higher-end positions, or you might only charge overtime if your team works over 40 hours for the same client in a week. You can also set premium hours, such as between midnight and six, which don’t necessarily have to align with your payroll rules.
LASSO’s Quoting and Invoicing, are designed to lift the manual load and calculation off your shoulders, taking you from the initial quote all the way to post-event invoicing in one place. This means you can focus on what you do best—managing events—while LASSO handles the complex calculations.
How to Set Up Bill Rules:
Building Your Event:
Start by building out your event as you normally would.
Navigate to the Schedule+ section to add your positions and schedule.
Here, you can set specific bill rules, such as a 10-hour minimum for higher-end positions or have specific rules attached to Rate Cards.
Creating a Quote:
Once you’ve added your positions and schedule, move to the Quote section.
LASSO will automatically pull in all the shifts and apply the bill rules, ensuring that your quote is accurate.
You can customize your quote to suit your needs, whether you want to build by group, by day, or any other way.
Save the quote and send it for e-signature directly from LASSO.
Invoicing:
When the event is over, head to the Invoicing tab.
If you’re using LASSO’s time system, the actual labor hours will be automatically pulled into this tab.
Your bill rules will be applied to these actual hours, ensuring that the invoice is accurate and reflects the terms and conditions of your contract.
You can then send the invoice directly from LASSO, eliminating the need for manual input and reconciliation.
How to Take Advantage of Bill Rules
To make the most of this feature, simply send your bill rules to your Customer Success Manager (CSM). They will input these rules into your LASSO settings, so every time you create a quote or invoice, the calculations will be done automatically for you. This process is straightforward and simple, and we hope you take full advantage of it.
