Billing Actuals on Invoices

Overview

LASSO has introduced a new feature that allows you to bill actuals on an invoice with more control. This feature is particularly useful for those who bill based on how they pay, as it provides the ability to manipulate billable hours in a way that wasn't possible before.

What Are Actuals?

Actuals refer to the actual hours worked by employees. There are two options within the system for actual billing today; bill on the exact hours that you have entered into the time system, or the hours derived from the punches and bill rules.

Why Use This Feature?

For some businesses, the current method of applying bill rules to in and out punches is not sufficient. This is because time entries have more flexibility, allowing you to adjust hours based on specific situations. For example:

  • If an employee is late for a shift and forfeits gifted hours, you can bill the customer only for the actual hours worked.

  • If you have a one-off situation where you charge double time on a Sunday, even though it's not a regular rule, you can bill the customer accordingly.

How It Works

When you use the new feature, LASSO will pull the hours buckets from the time entries that have been inputted, without applying any additional calculations. This means:

  • Punches and Bill Rules: If you uncheck the feature, LASSO will continue to use in and out punches and apply bill rules such as minimums, premium overtime, and quick turns.

  • Time Hours for Actuals: If you check the feature, LASSO will use the hours you have entered directly into the time system, without any further calculations.

Enabling The Feature

To enable this feature, follow these steps:

  1. Go to the General section.

  2. Click on Edit.

  3. Navigate to Billing Calculations.

  4. Look for the Use Time Hours for Actuals setting.

  5. Toggle the setting on or off as needed.

  6. Click Save.

This feature will only affect the invoice when you select Use Actual Labor Hours. It will not impact any other calculations or processes within LASSO.
