LASSO Shipments: Complete Guide

Everything you need to know about creating shipments, packing assets, generating shipping estimates, and managing logistics in LASSO.

Overview

Shipments in LASSO allow you to organize, track, and manage the transportation of your equipment from your warehouse to event venues and back. You can assign assets from multiple pack sheets to any number of trucks, generate shipping estimates for quotes, and maintain a consolidated and accurate manifest of items on each vehicle β€” making logistics and tracking much easier.

This guide covers everything you need to know about creating shipments, packing assets, generating shipping estimates, and managing your logistics workflow in LASSO.


Accessing Shipments

There are two main entry points for working with shipments in LASSO:

Warehouse Activities Page

  • Navigate to Warehouse > Shipments to access the Shipment View.

  • This view lists all active shipments, including their names, related events and orders, status, origin warehouse, destination, expected departure and arrival times, and the destination address.

  • From here you can create new shipments, pack assets directly onto trucks, and update shipment statuses.

Logistics Spoke

  • Navigate to the Logistics Spoke within any event to generate shipping estimates and schedule shipments tied to specific orders.

  • The Logistics Spoke lets you work with both Open Orders and Scheduled Shipments, and provides tools for estimating weight, volume, and transportation costs.


Creating a Shipment

Step-by-Step

  1. Click on the "Create Shipment" button from the Warehouse Activities page.

  2. Name your shipment (e.g., "Truck 1").

  3. Select the orders that will be included in this shipment.

  4. Enter the shipment details (see fields below).

  5. Save your shipment. A Shipment ID will be auto-assigned.

Shipment Detail Fields

  • Truck/Trailer Number β€” Enter the truck or trailer number for tracking purposes.

  • Origin β€” Auto-populates based on the warehouse of the first order selected. Updates if you reorder or remove orders.

  • Destination β€” Select the venue, which is filtered to include venues related to the event. The address auto-populates if stored on the venue.

  • Contact Name β€” Optionally enter a contact name for the venue.

  • Expected Departure & Arrival Times β€” Input the dates and times you expect the truck to leave your warehouse and arrive at its destination.

  • Driver Information β€” Add the driver's name, last name, contact number, and license number if needed.

  • Notes β€” Enter any additional notes that will appear on the shipping documentation.


Creating a Shipping Estimate

The Logistics Spoke lets you generate shipping estimates for your quotes. Before getting started, make sure you have truck types configured in Company Inventory Settings under Logistics.

Step-by-Step

  1. Open the Logistics Spoke for your event.

  2. Select "Open Orders" and check the orders you want to estimate.

  3. Edit departure and arrival dates/times as needed using the pencil icon.

  4. Review the summary below your selected orders showing estimated weight, total estimated volume, shipment departure, and shipment arrival.

  5. For round-trip estimates, also select the same orders in the Return section below. You can edit pick-up and return dates/times there as well.

  6. Click "Select Transportation Options" to generate your available truck options.

  7. Select from available truck options in the Truck Selection section.

  8. Choose a truck-friendly route. You can switch between departure and return when selecting routes.

  9. Click "Show Shipping Calculator" to see the estimate.

  10. Add your mileage rate and any additional items needed (e.g., handcarts).

  11. Review your estimate and click "Save Shipment".

πŸ’‘ Note: Weight is calculated based on the gear in your selected orders. All gear must have weights and dimensions entered in your asset catalog for accurate estimates.


Packing Assets to a Shipment

You can pack assets onto a shipment in two ways:

Packing from the Pack Sheet

  1. Go to the pack sheet for the order you want to pack.

  2. Look for the "Shipment" icon in the header.

  3. Ensure the assets are already packed to the pack sheet.

  4. Select the assets you want to pack to the shipment.

  5. If the order is assigned to only one shipment, it will auto-select. If multiple shipments are available, choose the one you want to pack to.

Controls for assignment:

  • Manually pack individual assets.

  • Use bulk select to pack multiple assets at once.

  • Scan assets to assign them to the shipment.

Packing from the Shipment View

  1. Go to the Shipment View and select the shipment you want to pack.

  2. Scan the containers from the orders associated with the shipment.

  3. The scan will be successful as long as the containers are linked to an order on the shipment.

Pack Sheet Indicators

On the pack sheet, columns indicate which truck a particular line item has been packed into. You can show or hide these columns as needed to keep your view clean.


Consolidated Manifest View

Once all assets are packed, you can access the Consolidated Manifest View. This provides a comprehensive list of all assets from multiple pack sheets that are packed onto the truck.

You can:

  • Print the manifest for your driver or warehouse floor staff.

  • Save it as a PDF for digital records.

  • Export it as a CSV file for use in other tools.


Updating Shipment Status

From the Shipment View, you can update the status of any shipment to keep your warehouse team informed. Use statuses to:

  • Track which shipments are active, in transit, or completed.

  • Filter the shipments list to focus on what's relevant.

  • Communicate progress across your team.

⚠️ Important: Once a shipment is marked Done or Shipped, packing and unpacking are locked. To make changes, you must first revert the shipment status to an active state.


Deleting a Shipment

You can delete a shipment from the action dropdown on the Shipment Chart Panel.

⚠️ Important: You must unpack all items from a shipment before deleting it. Shipments with packed items cannot be deleted. Remove all items first, then delete.


Frequently Asked Questions

Why does my shipment show an order that isn't tied to my event?

This was a known issue where deleted gear orders could still appear in the shipment order picker. This has been resolved β€” deleted orders are now filtered out. If you still see an unexpected order, try refreshing the page or contact LASSO Support.

The estimated weight seems wrong β€” why is it showing a high number?

Previously, the Total Estimated Weight in the Logistics Spoke could display a cumulative total even when no orders were selected. This has been fixed β€” the weight now starts at zero and only reflects the orders you've actively selected. Make sure to check/uncheck orders to see accurate weight totals.

Can I unpack items from a shipment marked "Done" or "Shipped"?

No. Once a shipment status is set to Done or Shipped, packing and unpacking are locked. To make changes, you must first revert the shipment status to an active state, then unpack or repack as needed.

I'm getting an error when trying to bulk unpack items. What do I do?

This was a known bug that has been resolved. Bulk unpacking items tied to a shipment should now work correctly. If you encounter an error, try unpacking items individually or contact LASSO Support.

Can I unpack an asset from a container that's in a shipment?

If you're having trouble unpacking assets from containers within a shipment, make sure the shipment status is not set to Done or Shipped. If the status is active and you're still experiencing issues, contact LASSO Support with the order and shipment details.

Why are my PO shipment dates showing the wrong timezone?

Shipment dates on purchase orders should display in your account's configured timezone. If you see dates in a different timezone (e.g., EST instead of PST), this may be a display bug. Contact LASSO Support so the team can investigate your account settings.

Can PO pickup/return locations reference a vendor address instead of the show venue?

Currently, in the Logistics Spoke, the available location options for PO pickup/return shipments are limited to the show venue. If you need to reference a vendor venue for mileage calculations (e.g., out-of-state vendor pickups), this is a known feature request. Contact your CSM or LASSO Support to express interest in this enhancement.

Can logistics shipments integrate with Outlook or other calendar apps?

Calendar integration for logistics shipments is not currently available as a built-in feature. This has been requested and is on LASSO's radar. Contact your CSM to add your vote for this feature.

How does weight factor into shipment planning?

Weight is calculated based on the gear associated with your selected orders. All gear must have weights and dimensions entered in your asset catalog for accurate estimates. If weight is not calculating on an open order or scheduled shipment, verify that weights and dims are set for all items in the order.

What happens when the origin warehouse auto-populates incorrectly?

The Origin field auto-populates based on the first gear order added to the shipment. If you reorder or remove orders, the origin updates accordingly. If it seems wrong, check which order was added first and confirm its associated warehouse.

My departure/arrival windows aren't saving in the Logistics Spoke. What's wrong?

If the Logistics Spoke is not saving your departure/arrival window values or not populating transportation options:

  1. Verify the Event Details page has correct event dates and times.

  2. Enter the departure/arrival values and ensure the Transportation Options button turns yellow.

  3. If values don't persist after closing and reopening, this may be a bug β€” contact LASSO Support with your event details and screenshots.


Tips & Best Practices

  • Set up truck types first β€” Configure truck types in Company Inventory Settings > Logistics before creating shipping estimates.

  • Enter weights and dimensions on all gear β€” Accurate estimates depend on complete asset data.

  • Use the date filter β€” Filter shipments by date range (Today, Past 7 Days, etc.) to find what you need quickly.

  • Print your manifest β€” Use the Consolidated Manifest View to print, PDF, or CSV export a truck's complete contents.

  • Customize your Shipment ID format β€” Adjust the auto-assigned numbering in Company Inventory Settings.

  • Unpack before deleting β€” Always unpack all items from a shipment before attempting to delete it.

  • Check shipment status before editing β€” You can't pack/unpack on Done or Shipped shipments. Revert the status first.

  • Use pack sheet indicators β€” Show the truck column on pack sheets to see at a glance which truck each line item is packed into.
